Office Manager / HR Assistant

We need your help to make our days run more smoothly. We try to make our work atmosphere and space better than anywhere else, but because times run busy, we are on the lookout for a pair of extra hands to help ease our daily routines around the office.

You will also be a part of an energetic and international work environment, with great opportunities to experience and being a part of an ambitious and fast growing company.  This position will report to US People Operations and be a part of our Better HR Team.



  • Supports the GM of Better Collective Florida with day to day administrative support and office management needs
  • Act as office receptionist - being first point of contact in our office - ensuring all guests will have that better welcome
  • Maintain image of the office
  • Ensure that conference room is always tidy, accessible and stocked with supplies and ready for the next strategy session
  • Proactively ensure that management and teams are ready and equipped for meetings, events, and senior-level meetings
  • Plan company events, ordering food, making reservations for events/client initiatives/meetings
  • Keep kitchen tidy and stocked with snacks and beverages
  • Coordinate management & staff travel/transportation/hotel accommodation
  • Available to assist with special projects throughout office on an as needed basis in regards to operations and business development initiatives
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Organize calendar and schedule meetings and appointments for GM
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Manage relationship property manager for all card access and maintenance requests
  • Be a resource for information for the team members, clients and guests


  • Serves as Human Resources Assistant
  • Assist with new-employee orientation, new hire paperwork and online personnel file systems
  • Support the recruitment process. Assist with job postings, scheduling interviews and with email correspondence
  • Create, update and maintain accurate job descriptions
  • Assist with HR related special projects, including but not limited to, benefits enrollment, FMLA, Employee files, Workers Compensation
  • Gather compliance acknowledgements and is responsible compliance recordkeeping for mandated federal and state compliance training
  • Assist with the development of our internal portal for US HR on the Company’s intranet. Maintain the flow of information on the website
  • Provides HR Compliance posters to all office locations. Monitors modifications in regulatory changes to ensure all locations are compliant with up-to-date posters

  • Tech and numerical savvy.  Google suit, Trello, Excel, ADP knowledge a plus
  • A passion for sports a plus!
